# Project Settings

To manage the project and see the members, click "Settings" in the project. The Settings tab consists of 4 sub-tabs. By default, the "Members" sub-tab is shown. Only project admin can access to other sub-tabs.

**NOTE: Only the project admins** can edit the project settings. Other tabs, except member tab, cannot be accessed by members.

## Adding and Editing Project Members

On this tab, you see project admins, members, and sub-projects.

![Project Settings](https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2FxofzJqpgXeoHUee6Zdgs%2Fimage.png?alt=media\&token=65c134ba-57ac-4c4b-af2e-ba8af0b14154)

If you are a project admin, you can add new members to the project. The people you want to add to the project must already be invited to Cubicl and had an account. To invite members to the organization account, check the [Organization Settings](https://docs.cubicl.io/organization-and-user-settings/organization-settings) page.

On this page, you can make people an admin or remove them from the project by hovering over the members with the mouse and clicking the button that appears.

## Project and Task Settings

In the Detail sub-tab, you can change the project name, user permissions, task states; can select workdays and hours, and automatically place them on task forms; add the estimated time field and additional task form fields to the tasks; you can select the pages you want to show in the project.

### Project Name and Privacy

You can update the project name and privacy status. The private project is only visible to its members. The main project cannot be made private.

![Project Details](https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2FUJtYoHWuyHVOwwQjVnu8%2FScreenshot_6.jpg?alt=media\&token=9f33cfc9-5563-4ab4-a405-b48f40c6a430)

You can add clients to projects. When you add a client to a project, that client will be automatically added to all tasks in the project.

### Project Permissions

Project permissions can be arranged for project members, non-project members and users. Project admins have full authority in the project.

![Project Permissions](https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2FSNH8qUJAaV7Oz7LEo0Ed%2FScreenshot_3.jpg?alt=media\&token=98134d86-e7ba-4a55-bf9a-b8cc54ebbf06)

If no permission has been set for a user, the permission settings selected for Members or Non-Project Members will be applied.

### Task States

Tasks states are Pending, Active, and Completed, by default. However, you can customize them according to your needs, or you can add new stages.

![Task Stages](https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-legacy-files/o/assets%2F-LbxWaexmzqc9FHYL1l4%2F-Mb1IgrOMxiBTRJHxAWA%2F-Mb1JD6ZCMA9-0lR9Nm2%2Fimage.png?alt=media\&token=f2ca0cc7-0744-409c-9b2a-8cbe82211a82)

### Working Days and Hours

It is for Timeline and Gantt Charts. You can add working hours to task forms. Thus, the selected working hours will automatically be the start and end times of the task when creating the task.

![Working Days and Hours of a Project](https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-legacy-files/o/assets%2F-LbxWaexmzqc9FHYL1l4%2F-Mb1IgrOMxiBTRJHxAWA%2F-Mb1JNHPHqkLvwdXN8w8%2Fimage.png?alt=media\&token=39e71c1e-9ac8-4aeb-8609-a2541bfd1778)

### Removing Project Pages

By default, a project includes the following pages: Tasks, Files, Gantt Chart, Time Chart, Calendar, and Reports. You can hide any project pages you don't use by going to the **Project Pages** section under the **Details** tab of the project's settings page.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2F6eKge9uticccQFptz2kl%2FScreenshot%202025-04-24%20at%2018.44.01.png?alt=media&#x26;token=5e433bf0-12eb-4fa3-80b2-74e065b3328f" alt="" width="302"><figcaption><p>Remove project pages</p></figcaption></figure>

### Default Project Page

Project admins can decide which page users will see first when entering a project. This can be set under **Project Settings > Details**.

The change made applies to all project members within the relevant project.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2FPpmDuYPFRVRXPjo8mTan%2Fdefauldpage.png?alt=media&#x26;token=50b4164f-3846-4e61-809b-cf54343ad879" alt="" width="240"><figcaption></figcaption></figure>

### Defaulf Task View

By default, the Tasks page of every project opens in Kanban view.

If you prefer the Tasks page to open in List or By Member view every time, you can change the Task View setting by navigating to **Project Settings > Details** within the relevant project. This adjustment can only be performed by project managers.

Once set, your selected view becomes the project default, eliminating the need to manually switch views upon every entry.

The change applies to all project members within that specific project, ensuring the Tasks page opens in the same view for everyone. Furthermore, a unique default view can be configured separately for each project.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2F0KT6amBHWmWYz6wkSYuW%2Fen-task%20view.png?alt=media&#x26;token=e0d92c8b-1648-437c-a1d6-793386a883ff" alt="" width="256"><figcaption></figcaption></figure>

### Adding Estimated Time to Tasks

To avoid wasting unnecessary time, you can add an **Estimated Time** field to the task form. This option is available under the **Estimated Time** field in the **Details** tab of the project's settings page.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2FMdBrqPU14s0KHm3gsFWe%2FScreenshot%202025-04-24%20at%2018.45.19.png?alt=media&#x26;token=574d3b86-05fb-43bb-869f-9a984102e892" alt="" width="288"><figcaption><p>Estimated time field</p></figcaption></figure>

### Adding Additional Fields to the Task Form

The default task creation form includes fields such as name, description, start and due dates, assignees, client, and tags. If you wish, you can make tasks more detailed by adding additional fields to the task form. This can be done from the **Additional Task Form Fields** section under the **Details** tab of the project's settings page.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2FfmZqRv1sbEHLOTXpNhe0%2FScreenshot%202025-04-24%20at%2018.48.40.png?alt=media&#x26;token=aa0d7065-8acd-4145-ad93-6c5689245bcf" alt=""><figcaption><p>Additional task fields</p></figcaption></figure>

The **Estimated Time** and any additional fields you add will appear on the right side of the task form.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2FyP7QL5EGPWxMZSL9FXhP%2FScreenshot%202025-04-24%20at%2015.14.21.png?alt=media&#x26;token=8d4f60a0-c964-4592-b97b-ebfce1f485c1" alt=""><figcaption><p>A task with estimated time and additional fields</p></figcaption></figure>

### Customizing Kanban and List Vie**w**

You can customize what information appears in the **Kanban** and **List View** on the project's **Tasks** page. This can be done from the **Task Fields to be Show** field in the **Details** tab of the project's settings page.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2FW3BFbdwJ5cB2Bm8Qwpel%2FScreenshot%202025-04-24%20at%2015.25.35.png?alt=media&#x26;token=c93156bc-75d7-488b-9ccc-1fe1620fca9a" alt=""><figcaption><p>Task fields for kanban and list views</p></figcaption></figure>

Since the List view is displayed as a table, it shows all additional fields, including **Estimated Time** and **Tags**.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2FBJez0tXedI5pZ4oqtkIk%2FScreenshot%202025-04-24%20at%2015.15.48.png?alt=media&#x26;token=f79d3914-51c8-4c32-bb1f-c92708aa670c" alt=""><figcaption><p>A task in a list view</p></figcaption></figure>

In the **Kanban** view, only one field is displayed at a time, and you can choose between **Estimated Time** or **Additional Fields**.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2FpNwETOue2YgICkDCZ8vU%2FScreenshot%202025-04-24%20at%2015.16.11.png?alt=media&#x26;token=bfc436ca-4450-4c2a-9560-0f150b7371ca" alt="" width="280"><figcaption><p>A task in kanban view</p></figcaption></figure>

**Note:** If the additional field selected for the **Kanban** view is of the **Number** or **Currency** type, the sum of the values entered in the tasks will be displayed next to the task status. For example, if there are three tasks under the **Pending** stage with expenses of $10000, $5000, and $30000, the total of $45000 will be shown next to the **Pending** status. This feature is especially useful for teams tracking costs, as it provides an easy way to monitor the project's budget and expenses at each stage. Seeing the total values helps project managers understand how much work is still pending and the costs incurred at each stage of the project.

### Archive Tasks Automatically

You can automatically archive your completed tasks which did not get any new activity for the past 1 month. This way, you don't have to waste your time archiving your completed tasks.

Visit Project Settings>Details page for this.

![Archive Tasks Automatically](https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2F4E2pgsild2ubU5k6ahyK%2Ff1c3f70d-1a16-4ff0-adc8-e15df4c07fe1.jpg?alt=media\&token=e1a3ab1d-7ca4-4ca6-9d2b-372abf5fc534)

### Automatically Adding Tasks to the Gantt Chart

You can choose to have newly created tasks added to the Gantt Chart automatically. This setting is available under Project Settings > Details. You can decide whether only tasks with dates should be added or if all tasks should appear on the Gantt Chart.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2Fzb4Q0D8NReBYjrBSIQW4%2FScreenshot%202025-11-18%20at%2022.20.20.png?alt=media&#x26;token=61ae1cb1-315e-46c5-bec9-eb861cd61727" alt="" width="375"><figcaption></figcaption></figure>

### Automatic Task Status Updates

In busy workflows, new messages on completed, archived, or newly created tasks can easily go unnoticed. Automatic status updates help prevent this by moving tasks to the appropriate stage as soon as new activity occurs.

This system works with three conditions:

* When a new support ticket or email-based task is created
* When a completed task receives a new message
* When a message is added to an archived task

You can set which stage the task should move to for each condition. For example, if a client replies to a completed task, it can automatically move to the Pending stage. This ensures your team never misses client activity and can respond promptly.

These settings can be configured under Project Settings > Details.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2FsVGqQfPaFXo9gbfqLZC2%2Fautomatic%20stages.png?alt=media&#x26;token=793b2bb7-6ea8-4fa4-870c-ae95d470df28" alt="" width="271"><figcaption></figcaption></figure>

### Subtask Operations

From **Project > Settings > Details**, you can control how date or state changes made to a main task are reflected in its sub-tasks.

<figure><img src="https://3670270150-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-LbxWaexmzqc9FHYL1l4%2Fuploads%2F1wy3A7Symc8lO5vW4iBW%2Fsubtask%20operations.png?alt=media&#x26;token=6ebd00cf-7f03-41e7-b3c2-e9dd457c320c" alt="" width="563"><figcaption></figcaption></figure>

Instead of automatic updates, this feature is based on user confirmation. When the main task is updated, a confirmation modal is displayed asking whether the sub-tasks should also be updated. The modal clearly shows the new date or state that will be applied to the sub-tasks. Based on the user’s choice and update permissions, the changes are then applied to the sub-tasks.
